Introduction

Jobtip develops software that allows candidates to apply for vacancies with employers. Because of this, Jobtip acts as a data processor for the customer who wishes to use Jobtip’s services. The final customer is the one who ultimately stands as data controller. Candidates who choose to apply through Jobtip’s services agree to an agreement in which they accept that their information will be handled in accordance with gdpr, and that their information is forwarded to the final controller. Jobtip does not further sell any personal data to anyone other than the final controller.

What does the candidate approve of?

  • Each candidate accepts that their information is processed in order to participate in the application process.
  • The information is stored for six months.
    • Based on the approximate time of a recruitment process.
    • After six months, the information is automatically deleted.
  • The candidate receives a reminder with information about:
    • How the application can be revoked.
    • Terms of Use and what happens to their personal data during the recruitment process.
      • This information can also be accessed by clicking on terms of use before the candidate gives his approval.
    • Legal basis and valid reason why the information is stored.
  • Jobtip never asks candidates if they want to extend the time an application is saved. It is always deleted after six months, without the possibility of extending.

Deletion of tasks

  • Candidates
    • All candidates have the option to cancel an application. This information comes in an email with a link that goes to the application. There is an overview of the personal data stored for the active ad. The candidate can then choose which tasks to delete.
    • By default, the information is saved only for six months, then it is automatically deleted
      • Information in e-mail sent to the customer is automatically deleted after 90 days.
  • Contact information in ads
    • All ads that are out there may have contact details per se. An ad is saved for up to two years, as a large portion of Jobtips customers choose to reuse information from previous ads. Withdrawal of the application takes place orally between Jobtips contact person and customer.
  • Information can be deleted on request.

Processing of personal data

  • All information is stored in Jobtip’s candidate management system.
  • An email goes out to each customer when a candidate applied for a position.
    • E-mail is stored for up to 90 days to ensure that the end customer is given the opportunity to access the data, then it is automatically deleted.
  • All information is stored in a searchable register and can be removed if desired from either the final controller or the person who applied through Jobtip services.
  • All data is stored within the EU.
  • All data stored is encrypted and can only be decrypted by people with a specific technical permission on Jobtip.
  • Information about candidates can only be accessed by the customer, or the jobtip contact person responsible for the customer relationship

Privacy shield

  • All Jobtips providers who do not go under GDPR are listed under privacy shield.
  • Jobtip servers are located in Ireland and are rented by Amazon.com.
  • All emails are stored using Mandrill, owned by The Rocket Science.
    • Group LLC d/b/a MailChimp.
  • Other suppliers.
    • Google LLC.
    • LinkedIn Corporation.
    • Facebook, Inc.
    • Twitter.
